Project Assistant (m/f/d) – Europe Program
The Aspen Institute Germany through our project partner, the Southeast Europe Association, is looking on a rolling basis in Munich or Berlin for a young professional to assist our project, the Civil Society and Think Tank Forum. Through this role, you will learn how to organise a large-scale international conference with high-level attendees, gain insight into the issues facing the Western Balkans and the EU, and work closely with several senior team members. In addition, you will take part in the project’s Main Forum in mid-October in Berlin and a follow-up meeting next year in Berlin, and have the opportunity for some travel.
Responsibilities:
- Supporting the project management in the organization of the Civil Society Forum 2024 as part of the Berlin Process;
- Researching conference venues, conference equipment, and catering and obtaining and comparing offers;
- Correspondence and communication with partners, participants and service providers;
- Collaboration in the creation of conference programs and conference documents;
- Correcting and editing texts and articles for the website and newsletter;
- Assistance with travel organization and support for participants;
- Assisting with the organizational preparation and implementation (on site) of an international conference and a workshop as part of the Berlin process (twice in Berlin).
Requirements:
- Successfully completed a training or a degree course and/or have relevant professional experience;
- Confident in using Office programs such as Word, Excel, Outlook, PowerPoint and other common applications. Knowledge of social media is an advantage;
- Very good command of written and spoken German and English;
- Strong organizational skills, reliability, flexibility, the ability to work both independently and in a team, and a friendly, helpful, and confident demeanor;
- Enjoy working in an international environment (politics, media, business and science) and are also prepared to travel to a limited extent.
We Offer:
- A part-time position (20 hours per week) with the pay grade TVöD E 4 (federal government)) (approx. 1,400.00 euros monthly);
- 30 days vacation per year, time off in lieu for overtime worked, 24.12. and 31.12. as days off;
- An interesting and varied area of responsibility with the opportunity to work independently;
- A workplace in a central location in Munich or Berlin, which is easily accessible by public transportation;
- A pleasant working atmosphere in a small team.

Internship – Finance
The Aspen Institute Germany offers three-month internships for university students. During the internship, which especially focuses on finance, you will learn how a non-profit organization in the political sector operates, and you will gain insight into the practices and processes of foreign affairs in Berlin. In addition, you will take part in the public events of the Institute.
The position encompasses the following tasks:
- Supporting the Director Finance and Personnel;
- Preparation of monthly financials;
- Support of financial planning processes, e.g. preparation of budgets, and controlling;
- Support of financial reporting of planning and actual data, both internally and externally;
- Preparation of financial statements;
- Ad-hoc analyses.
Requirements:
- University enrollment preferably in economics, business or related areas.
- Fluent in German and English;
- Very good knowledge of MS Office, especially Excel;
- A passion for crunching numbers;
- Commitment, and reliability;
- Precise and accurate working;
- Interest in international politics, especially transatlantic matters.

Internship
The Aspen Institute Germany offers three-month internships for university students. During the internship, you will learn how a non-profit organization in the political sector works and you will be involved in as many of the Institute’s fields of activity as possible. As a part of the Aspen Institute Germany, you will gain insight into the practices and processes of foreign affairs in Berlin. In addition, you will take part in the public events of the Institute.
Internships now open from November/December 2024 onwards.
The internship includes the following tasks and duties:
- general administrative support of day-to-day activities
- research for the Executive Director
- research for the public program events
- assistance in the preparation and follow-up of public evening events
- support for the preparation of conferences
Applicants should have the following qualifications and skills:
- university enrollment in the 4th to 9th semester of social sciences, humanities, or economics
- knowledge of German-American relations
- excellent German or English skills, ideally proven by periods spent abroad or certificates
- sound knowledge of MS Office software, especially Microsoft Excel and Word
- interest in social media
- knowledge of layout programs of advantage
- existing work or volunteer experience
- a friendly and sincere attitude
- proven ability to perform reliably and diligently
